2. Submit Request
Complete the online request form to request meeting or event services. YES will contact you for a needs assessment call within 2 business days to review the details of your request.
On the needs assessment call, YES will seek your input to thoroughly understand the meeting objectives and desired outcomes.
3. Sourcing
YES will create a Request for Proposal (RFP) in CVENT to identify hotel properties that meet your requirements for sleeping rooms, amenities and meeting space.
Within 3-5 business days, YES will source venues and send you an availability report with rates and costs from the hotel.
4. Contract Approval
Once you narrow down the venues to 2-3 properties, YES will further negotiate room rates, food and beverage discounts, audio visual equipment and other services required at the venue.
YES will also negotiate optimal contract terms with all venues (including off-site venues if required) and include an addendum to mitigate risk should a program cancel.
Once the details are ironed out, your contract will be signed by Angela Tune, Strategic Operations Buyer, Mars Global Services.
5. Planning
If you’ve requested planning services, YES will conduct regular conference calls with you to coordinate the logistics of your program, including attendee registration, food and beverage, audio visual, room sets, etc.
6. Reconciliation
Post-program, YES will review the final bill to ensure all negotiated discounts have been applied, quality check for accuracy, and record your final spend. Then YES will send you a report, highlighting your spend and savings.
